Academic Advisor II -   Monique Stewart

Summary

Provides administrative support to the Associate Head for Graduate Programs. Responsible for the management of the Graduate Program Office. The Department of Mathematics has over 100 graduate students enrolled. Approximately 25 masters degree candidates and 10 PhD degree candidates are graduated each year.

Specific Duties

Duties and responsibilities include conferring with graduate students regarding programmatic and procedural requirements. Conducts queries on the SIMS database. Processes Q-drops, petitions and degree plans. Maintains student files consisting of official and confidential matters. Organizes departmental orientations for new graduate students. Interacts with College of Science Dean's Office, Office of Graduate Studies, International Student Services, Graduate Admissions Office (U.S. and International) and the English Language Institute regarding admissions, registration, advising, counseling and other student matters. Stays current on TAMU student rules and regulations and provides information or refers students to University resources that can assist in meeting particular needs or solving problems. Serves as initial point of contact within the Graduate Programs Office and responds to a multitude of questions and concerns from students and parents; provides guidance on university life in general.

Coordinates the assignment of graduate assistant duties each academic semester and summer session; assigns teaching and non teaching duties to all GATs/GANTs/GARs working through academic and personal scheduling conflicts. Reviews each student's previous semesters duties and performance evaluations. Accomodates special circumstances and faculty requests if feasible. Tracks graduate assistant budgetary expenditures. Enters out of state tuition waivers into SIMS and submits requests for university tuition payments for GATs/GARs each semester into the ONPAR system. Enters scholarship and fellowship payments in SIMS via 3T7.

Assists the Associate Head in communicating with and advising internal and external groups or committees concerning graduate program endeavors. Assists in the development and revision of all program materials, web pages and recruitment publications. Organizes and schedules yearly departmental Qualifying Examinations. Responsible for the advertisement of the graduate program through mathematical publications, mailings, web postings, and responds to inquiries for information and application materials. Coordinates student recruitment activities, arranges campus visits and assembles individual itineraries for prospective students. Organizes departmental Graduate Teas and Graduation Receptions throughout the academic year. Assists the Associate Head in identifying potential candidates for various university/departmental fellowships. Also identifies graduate assistants that are eligible for annual teaching awards. Schedules appointments and meetings for the Associate Head and the Graduate Program Committee. Composes letters and memorandum under the Associate Head's signature and provides absolute confidentiality and accurate attention to detail.
